{"id":4199,"date":"2022-06-17T10:30:55","date_gmt":"2022-06-17T17:30:55","guid":{"rendered":"https:\/\/SUMMALAI.COM\/?p=4199"},"modified":"2022-06-17T10:30:59","modified_gmt":"2022-06-17T17:30:59","slug":"how-to-enable-shared-channels-between-two-organisations","status":"publish","type":"post","link":"https:\/\/SUMMALAI.COM\/?p=4199","title":{"rendered":"How To Enable Shared Channels Between Two\u00a0Organisations"},"content":{"rendered":"\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/teamsqueen.files.wordpress.com\/2022\/04\/image-6-1.png?w=364\" alt=\"\"\/><\/figure>\n\n\n\n<p>Shared Channels are a channel within a Microsoft Teams Team.&nbsp; There are two stand out features which make this type of channel so eagerly anticipated<\/p>\n\n\n\n<ol class=\"wp-block-list\" type=\"1\"><li>People (and Teams) can be given access to just the channel, without needing to join the team<\/li><li>Even channels hosted by another organisation are found in the list of Teams without any need to switch organisation.&nbsp; For anyone used to organisation switching they will know this is a big bonus.<\/li><\/ol>\n\n\n\n<p>Setting up shared channels is not the simplest process. In this walk through we will see the process to set up a shared channel from the hosting organisation and from a joining organisation.<\/p>\n\n\n\n<p>NOTE: All Shared Channel features are&nbsp;<strong>OFF<\/strong>&nbsp;by default.<\/p>\n\n\n\n<h1 class=\"wp-block-heading\">Organisation 1 \u2013 The Host<\/h1>\n\n\n\n<p>Shared Channels are set up by one organisation which we will call the host.&nbsp; The channel and all the information in it are stored in their tenant and subject to their security &amp; governance controls.<\/p>\n\n\n\n<p>To act as a host organisation you need to:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>All channel owner(s) to create Shared Channels and invite external users to the channel using a Teams Policy<\/li><li>Allow member and owner users to enable Teams Public Preview (This is only required whilst the feature is in preview)<\/li><li>Enable&nbsp;<strong>inbound<\/strong>&nbsp;B2B direct connect.&nbsp; This can be open (not recommended) or per external organisation (recommended)<\/li><\/ul>\n\n\n\n<h1 class=\"wp-block-heading\">Organisation 2 \u2013 The Collaborator<\/h1>\n\n\n\n<p>In order to allow your users to join a shared channel in another organisation you need to:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Allow users to join external shared channels using a Teams Policy<\/li><li>Allow users to enable Teams Public Preview (This is only required whilst the feature is in preview)<\/li><li>Enable&nbsp;<strong>outbound&nbsp;<\/strong>B2B direct connect.&nbsp; This can be open (not recommended) or per external hosting organisation (recommended)<\/li><\/ul>\n\n\n\n<h1 class=\"wp-block-heading\">Setting Up Collaboration \u2013 A Walk Through<\/h1>\n\n\n\n<p>In this walk through we are setting up a Shared Channel called&nbsp;<strong>Viva Explorers<\/strong>&nbsp;in the organisation&nbsp;<strong>SaraFennahMVP<\/strong>&nbsp;(the host organisation).&nbsp; In this channel we are intending to invite users from&nbsp;<strong>Contoso&nbsp;<\/strong>(the collaborator organisation) to join.&nbsp; Administrators from the two organisations will work together to set up the collaboration.&nbsp; Starting with the hosts.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Setting up to Host a Shared Channel<\/h2>\n\n\n\n<h3 class=\"wp-block-heading\">Step 1 \u2013 Configure Cross Tenant Sharing for a Specific Domain<\/h3>\n\n\n\n<p>In our scenario the Global Administrator for&nbsp;<strong>SaraFennahMVP&nbsp;<\/strong>needs to configure external collaboration to allow users in&nbsp;<strong>Contoso&nbsp;<\/strong>to join the channel.<\/p>\n\n\n\n<p>To do this they:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Navigate to the&nbsp;<strong>Azure AD Portal<\/strong>&nbsp;(&nbsp;<a href=\"https:\/\/portal.azure.com\/#blade\/Microsoft_AAD_IAM\/ActiveDirectoryMenuBlade\/Overview\">https:\/\/portal.azure.com\/#blade\/Microsoft_AAD_IAM\/ActiveDirectoryMenuBlade\/Overview<\/a>)<\/li><li>Select&nbsp;<strong>External Identities<\/strong>&nbsp;&gt;&nbsp;<strong>Cross-tenant access settings (Preview)<\/strong><\/li><li>Choose&nbsp;<strong>Organizational settings<\/strong><\/li><li>Select&nbsp;<strong>+ Add organization<\/strong><\/li><li>Search for the organization using domain name, this is case&nbsp;<strong>Contoso.com<\/strong>.&nbsp;&nbsp;<strong>Please remember<\/strong>&nbsp;that many organisations have multiple domain names registered.&nbsp; To avoid confusion, it is best to check with a Microsoft 365 administrator at the partner organisation for the domain.&nbsp; This will also allow you to verify tenant ID before opening up collaboration to ensure you are opening your doors to the correct organization!<\/li><li>Select&nbsp;<strong>Add<\/strong><\/li><\/ul>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/teamsqueen.files.wordpress.com\/2022\/04\/image-2-1.png?w=1024\" alt=\"\" class=\"wp-image-2372\"\/><\/figure>\n\n\n\n<ul class=\"wp-block-list\"><li>The new tenant will be added with both inbound and outbound settings inherited from default settings.<\/li><\/ul>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/teamsqueen.files.wordpress.com\/2022\/04\/image-1.png?w=1000\" alt=\"\" class=\"wp-image-2370\"\/><\/figure>\n\n\n\n<ul class=\"wp-block-list\"><li>To be able to host shared channels to which Contoso users can be invited customise the inbound settings by clicking&nbsp;<strong>Inherited from default<\/strong>&nbsp;link<\/li><li>Under&nbsp;<strong>B2B direct connect&nbsp;<\/strong>for both&nbsp;<strong>External users and groups&nbsp;<\/strong>and&nbsp;<strong>Applications<\/strong>&nbsp;select&nbsp;<strong>Customize settings<\/strong>&nbsp;and choose&nbsp;<strong>Allow access&nbsp;<\/strong>on both for either&nbsp;<strong>All users<\/strong>&nbsp;or selected users\/apps. For Teams Shared Channels, if you choose selected applications you will need to add&nbsp;<strong>Office 365<\/strong><\/li><\/ul>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/teamsqueen.files.wordpress.com\/2022\/04\/image-2.png?w=1024\" alt=\"\" class=\"wp-image-2371\"\/><\/figure>\n\n\n\n<ul class=\"wp-block-list\"><li>Verify&nbsp;<strong>Trust settings<\/strong>.&nbsp; I would recommend enabling&nbsp;<strong>Trust multi-factor authentication from Azure AD<\/strong>&nbsp;tenant as a minimum to reduce sign in and authorization friction for external users in shared channels.<\/li><\/ul>\n\n\n\n<p><strong>NOTES:<\/strong><\/p>\n\n\n\n<p>There is no need to enable outgoing settings to&nbsp;<strong>HOST<\/strong>&nbsp;a shared channel, but for many organisations this is a two way collaboration so you may prefer to enable Outbound B2B direct connect settings too.<\/p>\n\n\n\n<p>B2B collaboration is the \u2018standard\u2019 external sharing we are used to and is switched&nbsp;<strong>ON<\/strong>&nbsp;by default.&nbsp; These settings are outside the scope of this article, so for configuring Shared Channels, we recommend leaving those settings as the default.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Step 2 \u2013 Teams Update Policy<\/h3>\n\n\n\n<p>To use Shared Channels during preview, users will need to be allowed to use Teams Public Preview.&nbsp; In our example all users in the tenant are to be permitted to use the preview features.&nbsp; The Teams Administrator in&nbsp;<strong>SaraFennahMVP&nbsp;<\/strong>sets the&nbsp;<strong>Global<\/strong>&nbsp;Teams update policy to enable preview features to allow this.<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/teamsqueen.files.wordpress.com\/2022\/04\/image-3.png?w=341\" alt=\"\" class=\"wp-image-2374\"\/><\/figure>\n\n\n\n<p>For more details about enabling and using public preview see&nbsp;<a href=\"https:\/\/docs.microsoft.com\/MicrosoftTeams\/public-preview-doc-updates?WT.mc_id=M365-MVP-5004583#:~:text=1%20Select%20the%20three%20dots%20to%20the%20left,3%20Select%20Switch%20to%20Public%20preview.%20See%20More.\">this article<\/a>&nbsp;on Microsoft Docs.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Step 3 \u2013 Teams Policy for Channel Settings<\/h3>\n\n\n\n<p>The Teams policy is used to control Private and Shared Channel features for your users.&nbsp; In our scenario the owners of the&nbsp;<strong>Viva Explorers<\/strong>&nbsp;channel will need to be assigned a policy which has the&nbsp;<strong>Create Shared Channels<\/strong>&nbsp;and&nbsp;<strong>Invite external users to shared channels&nbsp;<\/strong>settings enabled.&nbsp; In&nbsp;<strong>SaraFennahMVP&nbsp;<\/strong>all users are to be given the ability to create and join Shared Channel with organisations for whom we have configured B2B direct connect, so the Teams Administrator has updated the Global Teams policy.<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/teamsqueen.files.wordpress.com\/2022\/04\/image-3-1.png?w=340\" alt=\"\" class=\"wp-image-2375\"\/><\/figure>\n\n\n\n<p>You will then need to assign the policies to appropriate users. For&nbsp; details on the various methods of assigning Teams policies to users, please refer to&nbsp;<a href=\"https:\/\/docs.microsoft.com\/MicrosoftTeams\/policy-assignment-overview?WT.mc_id=M365-MVP-5004583#:~:text=Use%20PowerShell%20method%201%20Install%20and%20connect%20to,Get%20the%20status%20of%20a%20batch%20assignment.%20\">this article<\/a>&nbsp;on Microsoft Docs.&nbsp; In our scenario as the Global policy has been updated there is no need to assign the policy to anyone.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Step 4 \u2013 Create Channel<\/h3>\n\n\n\n<p>We now need to create the Shared Channel.<\/p>\n\n\n\n<p>The owner of the team first switched to public preview and then creates the channel, picking the privacy of&nbsp;<strong>Shared Channel.<\/strong><\/p>\n\n\n\n<p>To create a shared channel in a team, from the \u2026 menu on the team choose&nbsp;<strong>Add channel<\/strong><\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/teamsqueen.files.wordpress.com\/2022\/04\/image-3-2.png?w=1024\" alt=\"\" class=\"wp-image-2376\"\/><\/figure>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/teamsqueen.files.wordpress.com\/2022\/04\/image-4.png?w=1024\" alt=\"\" class=\"wp-image-2377\"\/><\/figure>\n\n\n\n<h3 class=\"wp-block-heading\">Step 5 \u2013 Invite Users to the channel<\/h3>\n\n\n\n<p>Before the host organisation can invite the external collaborators the collaborator organisation needs to complete their set up steps.&nbsp; The final step for the collaborator is to provide details of the users and\/or teams in their organisation to be added to the shared channel.&nbsp;<\/p>\n\n\n\n<p>Once our team owner receives these details they can add users to the shared channel by selecting&nbsp;<strong>Share channel<\/strong>&nbsp;from the \u2026 menu on the channel.<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/teamsqueen.files.wordpress.com\/2022\/04\/image-4-1.png?w=1024\" alt=\"\" class=\"wp-image-2378\"\/><\/figure>\n\n\n\n<h2 class=\"wp-block-heading\">Setting up to Join a Shared Channel<\/h2>\n\n\n\n<h3 class=\"wp-block-heading\">Step 1 \u2013 Configure Cross Tenant Sharing for a Specific Domain<\/h3>\n\n\n\n<p>In our scenario the Global Administrator for&nbsp;<strong>Contoso&nbsp;<\/strong>needs to configure external collaboration to allow users in Contoso to access shared channels hosted by&nbsp;<strong>SaraFennahMVP<\/strong>.<\/p>\n\n\n\n<p>To allow this the Global Administrators in Contoso needs to:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Navigate to the&nbsp;<strong>Azure AD Portal<\/strong>&nbsp;(&nbsp;<a href=\"https:\/\/portal.azure.com\/#blade\/Microsoft_AAD_IAM\/ActiveDirectoryMenuBlade\/Overview\">https:\/\/portal.azure.com\/#blade\/Microsoft_AAD_IAM\/ActiveDirectoryMenuBlade\/Overview<\/a>)<\/li><li>Select&nbsp;<strong>External Identities<\/strong>&nbsp;&gt;&nbsp;<strong>Cross-tenant access settings (Preview)<\/strong><\/li><li>Choose&nbsp;<strong>Organizational settings<\/strong><\/li><li>Select&nbsp;<strong>+ Add organization<\/strong><\/li><li>Search for the organization using domain name, this is case&nbsp;<strong>m365mvp.co.uk<\/strong>.&nbsp; Our global administrator has shared the tenant ID with the administrator at Contoso, so they can check they have found the correct tenant.<\/li><\/ul>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/teamsqueen.files.wordpress.com\/2022\/04\/image-7.png?w=1024\" alt=\"\" class=\"wp-image-2386\"\/><\/figure>\n\n\n\n<ul class=\"wp-block-list\"><li>Select&nbsp;<strong>Add<\/strong><\/li><li>The new tenant will be added with both inbound and outbound settings inherited from default settings.<\/li><\/ul>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/teamsqueen.files.wordpress.com\/2022\/04\/image-5.png?w=1024\" alt=\"\" class=\"wp-image-2379\"\/><\/figure>\n\n\n\n<ul class=\"wp-block-list\"><li>To enable users to be invited to shared channels hosted by&nbsp;&nbsp;<strong>SaraFennahMVP<\/strong>&nbsp;customise the outbound settings by clicking&nbsp;<strong>Inherited from default<\/strong>&nbsp;link<\/li><li>Under&nbsp;<strong>B2B direct connect&nbsp;<\/strong>for both&nbsp;<strong>External users and groups&nbsp;<\/strong>and&nbsp;<strong>Applications<\/strong>&nbsp;select&nbsp;<strong>Customize settings<\/strong>&nbsp;and choose&nbsp;<strong>Allow access&nbsp;<\/strong>on both for either&nbsp;<strong>All users<\/strong>&nbsp;or selected users\/apps.
